Buying an ERP is a long-term decision: your staff will use it every day for years. This checklist helps you compare options on what matters, not just on a feature list.

1. Fit with how you work

  • Does it handle your fee structures, instalments and concessions?
  • Does it match your courses, batches and semesters?
  • Can it adapt to your approval steps, or must you change your process?

2. Ease of use

  • Can office staff record a fee payment in under a minute?
  • Ask for a live demo using your own scenario, not a prepared presentation.

3. Mobile and cloud

  • Can management check reports from a phone?
  • Is it cloud-based, so there are no servers for you to maintain?

4. Data security and ownership

  • Where is the data stored, and how often is it backed up?
  • Is access controlled by role?
  • Can you export your data if you ever leave?

5. LMS connection

6. Implementation and support

  • Who imports your existing data?
  • Is staff training included?
  • How quickly are issues and small changes handled, and in which language?

7. Total cost

Compare the full cost over three years – licence or subscription, setup, training, changes and support – rather than the first-year price alone.
