Once you decide to use an ERP, the next question is where it runs: on your own server in the institute (on-premise) or in the cloud, accessed through the internet.
Cloud ERP
- No hardware – nothing to buy, power or repair.
- Access anywhere – management and staff can work from home or another campus.
- Automatic backups and updates – handled by the provider.
- Security – large cloud platforms protect data with standards a single institute cannot easily match.
- Needs internet – a reliable connection (with mobile data as backup) is required.
On-premise ERP
- Full physical control of the server.
- Works on the local network during internet outages.
- Your responsibility – backups, security patches, hardware failures and IT staff.
- Higher upfront cost – server, licences and setup.
Which is right for you?
For most colleges, schools and training institutes, cloud ERP is the better choice: lower cost, less risk of data loss and access from anywhere. On-premise makes sense mainly where regulations require data to stay on site, or internet access is very unreliable.
Ryan Quantum's Education ERP and LMS run on Google Cloud (Firebase) with role-based access and regular backups.
Frequently asked questions
Is cloud ERP safe for student data?
Yes, when it uses a reputable cloud platform, role-based access, encryption in transit and regular backups.
What happens if the internet goes down?
Staff can continue on mobile data or another connection; the data itself is safe in the cloud and nothing is lost.
